Terms of Service

These terms are between Formatio, 2 Heyleigh Farm Barn, Launcells, Bude EX23 9NN ("Formatio", "we", "us"), and the club that registers an account ("you", "your club"). By registering a club on Formatio, you agree to these terms.

What Formatio provides

Formatio is software for running a grassroots football club — player registration, fixtures and availability, pitch booking, lineups and team sheets, season stats, and (on paid plans) Direct Debit fee collection from parents.

Your account and responsibilities

• You're responsible for the accuracy of information your club enters, and for having a proper basis to collect and store it — particularly medical, safeguarding, and other information relating to children.
• You're responsible for who you invite into your club's account and what role you give them.
• You must keep your login details secure and tell us if you suspect unauthorised access.

Plans, trials, and billing

Formatio offers a free tier and paid tiers billed monthly or annually through Stripe. Paid tiers include a free trial period; you won't be charged until it ends. You can upgrade, downgrade, or cancel at any time from your club's Billing page — cancelling stops future billing but doesn't refund the current billing period.

Direct Debit fee collection

If your club uses Formatio's fee collection feature, parents set up a Direct Debit mandate through GoCardless, and payments are collected under that mandate. Collected funds are currently received into Formatio's own GoCardless account and paid to your club by us afterwards, rather than being paid to your club's bank account directly and automatically by GoCardless. We'll tell you plainly if or when that changes to a direct payout model.

GoCardless charges a transaction fee of 2% + 20p on each successful payment, which is deducted before funds are paid out to your club. Payouts to your club are the amount collected from parents minus this fee — we don't add any margin of our own on top of it. These rates are set by GoCardless and may change; we'll let you know if they do.

Acceptable use

Don't use Formatio for anything unlawful, to store data you don't have the right to hold, or to attempt to disrupt or gain unauthorised access to the service or other clubs' data.

Data protection

How we handle personal data — including the fact that your club, not Formatio, is the data controller for your players' and parents' information — is set out in our Privacy Policy.

Availability and changes

We aim to keep Formatio available and working as described, but we don't guarantee uninterrupted service, and we may change or add features over time. We'll tell you about any change that materially affects how your club uses the service.

Liability

Formatio is provided as-is. To the extent permitted by law, we aren't liable for indirect losses, and our liability for any claim is limited to the fees your club has paid us in the 12 months before the claim arose. Nothing here limits liability where the law doesn't allow it — for example, for fraud.

Ending your account

You can stop using Formatio and downgrade to the free tier or delete your club's account at any time. We may suspend or end an account that breaches these terms, or misuses the service, with notice where reasonably possible.

Changes to these terms

We'll update the date at the top of this page if these terms change, and let club admins know of any significant change.

Governing law

These terms are governed by the law of England and Wales.
